PROOF-it-ONLINE is an online proofing and approval solution for the creative services industry. Our web-hosted solution enables creative service professionals to send creative proofs for approval and allows their clients to see proofs in color, mark/edit proofs in their browser, easily approve proofs and deliver approval to the designer in minutes. During this process, a detailed audit trail is captured, allowing the user to easily view and save all comments and activity on each proof sent.

Questions About the PROOF-it-ONLINE User Experience

How easy is it to use PROOF-it-ONLINE solutions?
PROOF-it-ONLINE was designed with the user in mind. There is no software or hardware to download or install - in fact, a user can upload and send their first proof within minutes. It is as simple as attaching a PDF to an email.

On the reviewer side, an intuitive and powerful set of markup and annotation tools easily guide the reviewer through the approval process. These simple-to-use tools help the reviewer feel confident that their markups and comments are well communicated and will be implemented without error.

How will my client know how to access a proof that has been posted for their review?
Your client will receive an email notification that will provide the correct URL needed to access the proof. At the login page, they will enter the email address the proof notification was sent to and the proof number contained in the notification.

Can my client see the various versions of a proof?
You can control to allow or deny access to previous versions of a proof job by your clients. You can select a default setting for all proof jobs. In addition, you may choose to allow or deny versioning on a particular proof job by using the advanced features tab during the proof upload process.

How will I know when my client is done reviewing the proof?
You will receive an email notification letting you know that the proof has been returned. You may then login to your Workspace to view the markups and comments posted by your client.

I send my client a high volume of proof jobs for review. Will they have to log in to each proof job separately?
For high volume reviewing, consider using our Collective Access feature. Your client will have a username and password assigned to them that will allow them to login to a workspace containing all of their pending proof jobs for review.

Can I print the markups on a proof?
The application includes print functionality. You can print out the markups and comments made on a reviewed proof. In addition, there are various printable reports that will help you manage your company's approval process.

We have a publication timeline to adhere to and want to make sure that the client reviews his proof in a timely fashion so we can stay on track - how can the application assist with this?
You can set a deadline for the reviewer on the proof job. The proof notification email sent to your client will inform them of the deadline.

My client is very busy and may forget to view and return the proof job - will the application remind the client of the pending proof job?
You can utilize the Renotify feature to send a friendly reminder to your client that their proof is ready for their review.

Can I keep track of all the actions that have occurred on a particular proof job?
The Proof Information area in the account workspace includes an activity log that provides details of actions

Technical PROOF-it-ONLINE Questions

What are the system requirements?
All you and your clients need is a Mac or PC with Internet access and a recent web browser. Your experience will be enhanced using a current browser version. We recommend the current version of I.E. PROOF-it-ONLINE will work with I.E., Netscape, AOL and even Safari browsers. System Requirements

What types of files can I upload?
PDF, GIF and JPG are the preferred file formats.

Are my files secure?
File security practices are in place to assure only authorized access is granted to all files on the system. Each proof is login-protected. Clients can only see proofs for which they have been provided the login information.

Workflow / Process Questions:

Will it work with my existing job tracking, traffic and billing systems?
Of course! Build on the benefits of your existing systems by applying the same tracking numbers they generate to the proofs you upload to PROOF-it-ONLINE. Your workflow will be smoother, and you'll be able to track jobs from start to finish.

What if I work with distributors, brokers or account reps?
The TeamTrack option, included on our Premium and above business level plans, lets you post proofs online for various intermediaries such as distributors, brokers, sales agents, account executives or internal colleagues who preview and then route proofs on to their clients for final review/approval.

Our internal process requires that we release proofs to a set of multiple approvers - will we need to send the proof job to each individual?
If you frequently release proofs to the same set of multiple reviewers, our review teams feature will be useful for you. You can set up a team of reviewers who you can then upload the proof job(s) to. In addition, you can even create sequential review teams that allow you to specify the order in which the reviewers receive and review the proof job.

Is there a way to integrate the online proofing application with our internal job order numbering or identification systems?
The Track-it ID field allows you to input internal job order numbers or customer numbers so that you may keep track of the proof jobs in the workspace and are able to associate them to your existing numbering systems. For your convenience, you may even search and sort proof jobs in the workspace by the Track-it ID. In addition, there are two specification fields that you can customize to provide run dates, ad dimensions, titles, or other pertinent information related to the proof job.

Our legal department requires that we provide a disclaimer on our proofs - can we do this in conjunction with the online proofing application?
When you send a proof to a client for review, they are alerted via an email notification message. This message includes a customizable disclaimer. As well, this also appears in the reviewer application. The My Account area in the workspace allows you to customize your disclaimer messaging in accordance with business needs.
